Position Summary:


The Administrative Assistant provides support and services to the Distribution Manager and other Management Staff. The job duties include, but are not limited to:  calendar management, scheduling and planning of events and meetings, fielding and responding to general questions from the organization.

Key Job Responsibilities:

  • Responsible for distribution center reception process: visitor entry, visitor log maintenance and visitor coordination to destination, etc.
  • Interface with various internal and external vendors, departments, visitors, staff, etc.
  • Provide direct support for Distribution Manager and other Department Managers.
  • Provide general clerical and administrative support including answering phones, filing, preparation of mailings, communication, presentations, ordering supplies, coding and paying invoices, etc. as needed.
  • Arrange and set up meetings, including logistics, supplies and meals
  • Provide backup support for Payroll adjustments
  • Post weekly schedules
  • Administer Safety Shoe order / process
  • Administer donation requests
  • Assembling and analyzing information and data from a wide variety of sources.
  • Preparing reports, manuals, agenda, correspondences and memoranda.
  • Answering mail and inquiries on own initiative, following up with other departments to ensure that requests are carried out.
  • Assist Distribution Manager and Human Relations Manager in administering programs, projects and processes specific to the operating unit.
  • Promotes a strong teamwork environment. Flexibility and ability to multi-task are key as Associate is expected to have the ability to work in a variety of positions.
  • Actively practices good safety procedures; has the ability to understand and follow established safety procedures.
  • Provide support in areas such as recruitment and staffing.
  • Process a variety of confidential forms, may process enrollment, and pay changes, informational and other pre-employment screening information.
  • Assists in maintaining personnel records.
  • Ensures the completion of  Payroll Authorization forms for all relevant changes and forwards them to the Human Relations Manager
  • Forward address changes, direct deposit forms, etc., to appropriate departments
  • Perform data entry into various software systems and other changes as needed.
  • All Postings – plant & corporate
  • Manage Cintas uniforms
  • Manage Door Security System
  • Coffee & Vending machines & stock lunchroom w/forks & spoons
  • Keep all computer files updated – addresses, phone lists, etc.
  • Other administrative support duties as assigned.

Job Requirements

Education and Work History:

•       High school diploma is required, but a BS or AS degree is preferred.

•       Minimum 6+ years of administrative experience

•       A combination of education, training and experience that results in demonstrated competency to perform the work may be substituted

•       Excellent communication and interpersonal skills.

•       Ability to interact with individuals at all levels within the organization

•       Ability to organize and plan meetings at all levels and all aspects

•       Professional demeanor and ability to maintain confidentiality

•       Ability to work independently and with minimum direction

•       Must be able to multi-task and prioritize needs of multiple individuals to ensure needs of all team members supported are met in a timely fashion

•       Must be proficient in Microsoft Office programs: Word, Excel and PowerPoint
